What is a hospitality LMS?

A hospitality LMS is a learning management system built specifically for restaurants, bars, cafés and hotels, rather than a generic corporate platform adapted for all sectors. It handles training scheduling and delivery, compliance tracking, menu and drinks knowledge, SOPs and daily task management in one place. Pocket Trainer is a mobile-first hospitality LMS used by restaurant and hotel teams in over 20 countries. The difference from a generic LMS is that the modules match how hospitality actually runs, with a heavy focus on food, cocktail and wine knowledge, shift-level task lists, and content built for staff working on the floor rather than at a desk.

Is Pocket Trainer mobile-first or desktop-based?

Every function is available on mobile. Staff open modules in one tap on a phone, which matters because hospitality teams do not sit at computers. Managers can also use the web app for admin work such as bulk uploads, reporting and content management. The platform runs on Web, Android, iOS and Huawei.

What modules are included in the Pocket Trainer platform?

Pocket Trainer includes thirteen modules: food guide, cocktail guide, wine guide, courses, quizzes, news feed, document store, video hub, training calendar, task manager, staff management and a manager’s dashboard. There are no additional charges for modules, and the full course library is included in every tier. The food, cocktail and wine guides together replace the printed food bible, with allergen filtering, tasting notes, pictures and supporting video options.

How does Pocket Trainer handle multi-site and multi-brand groups?

Super admins manage several outlets or locations from one account, with reporting rolled up across all of them. For groups running more than one brand, the standing recommendation is one account per brand, so common material is shared while brand-specific content, teams and reporting stay separate with the option to merge. New venues can be built from scratch or cloned from an existing venue account and adapted, which is the faster route when opening a site under an existing brand.

How long does it take to onboard a new venue?

Days, not months. Standard onboarding covers account set-up, implementation and uploads, management onboarding training and a dedicated Customer Success Manager. Managers do nothing beyond sending over the material they already have. No technical skills are required, and the learning and development team reviews client content and builds a training plan at no extra cost.

How much does a hospitality LMS cost?

Pocket Trainer charges a one-time onboarding fee per outlet, typically £300 to £600, plus a recurring licence fee of roughly £3 to £5.5 per user per month. The per-user rate drops for longer billing cycles, with quarterly, semi-annual and annual options available. There are no extra charges for modules or for the built-in course library. Exact pricing depends on user numbers, number of outlets, billing frequency and contract length.

How is our content protected on the platform?

Downloads and screenshots are both blocked. Content is stored in the cloud, encrypted with AES-256 at rest and TLS in transit, and Pocket Trainer does not access client content. Access is controlled by department, by individual, or restricted to management only, and a “No Access” level prevents line employees from editing or deleting anything. Protection is contractual as well as technical: every client is covered by a signed services agreement, and every user must accept terms protecting client intellectual property before using the platform. Recipes, preparation methods and brand standards are recognised in that agreement as sensitive commercial information.

How does Pocket Trainer handle data protection and GDPR?

Pocket Trainer acts as a data processor, not a controller, for client staff data, with data processing terms accepted at sign-up. Infrastructure runs on AWS with encryption at rest and in transit, and international transfers rely on Standard Contractual Clauses through the AWS data processing addendum. Vulnerability assessment and penetration testing has been carried out with no critical or high findings on web or iOS. Staff account data is deleted within 30 days of contract end.

What reporting do managers get?

The manager’s dashboard covers learning, tasks, people and content at venue, department or group level, with full export. On learning, managers track attempts, completions, completion percentages, overdue learning, certificates issued, learning time and rankings, plus a learning matrix comparing every employee against every course and quiz, filterable by completed, in progress, not started, failed or overdue. On people, they see headcounts, active and inactive users, department and venue comparisons, admins and users with control settings. Task completions, live training attendance, and use of videos, documents and food and beverage items are all tracked automatically. For multi-outlet groups, reporting is centralised so head office sees every location in one place.

Does Pocket Trainer integrate with other systems?

Yes. Pocket Trainer integrates with HR platforms such as Harri, and builds integrations with other systems on request, so staff records and operational data stay in sync rather than being maintained twice. Videos can be linked in from YouTube and other channels, and structured platform data exports as JSON, so information can be moved into third-party systems without a custom build.

What languages does the platform support?

The platform interface is available in Arabic, Spanish, Italian, French, Turkish and Hindi, and multilingual content is supported throughout, so courses and documents can be delivered in the language your team actually works in. This matters in markets like the UAE, Saudi Arabia, Qatar and the UK, where a single venue may run several first languages across one shift, and where a compliance course only counts if the person taking it understood it.
